Works in Google Sheets (free Google account) and Microsoft Excel 2016 or newer.

Pay your sewing operators for exactly what they made. Set a rate for every operation of every style, log each day's output by worker, style, size and operation, and the spreadsheet adds up pieces, bonuses, hourly and downtime pay, advances and deductions into one payroll for the pay period, with a printable pay slip for each worker. Built for small cut-and-sew and CMT factories with 5 to 40 operators that pay by the piece.

What's inside

  • Start Here

Your factory name, pay period (weekly, every 2 weeks, twice a month or monthly), target pay per minute, your own hourly floor, downtime pay, a size uplift for big sizes and a status date

  • Payroll

One row per worker for the pay period: hours, pieces, efficiency bar, piece pay, bonuses, hourly and downtime pay, top-up to your floor, extra pay, advances, deductions and net to pay, with a status for every worker

  • Dashboard

Net to pay, labor cost per earned minute, efficiency against your goal, finished garments and top-ups; earnings by worker; labor per garment for each style against your costing; a day-by-day board of pay, pieces or efficiency

  • Output

One row per worker, day, style, size and operation (or whole garment), with the rate, earnings, bonus, earned minutes and a check on every row

  • Attendance

Hours at work and downtime per worker and day, with that day's efficiency

  • Advances

Cash advances, deductions and extra pay, each counted in the right pay period

  • Pay Slip

A printable one-page slip for any worker: every style and operation with pieces, rate and amount, the totals, advances and a signature line

  • Workers

Codes, lines, active or not, piece rate or hourly

  • Rates

Operations of each style with seconds, equipment, finishing tier, rate per piece and an optional bonus per piece from a daily quantity; a suggested rate from your target pay per minute

  • Styles

Finishing tier, whole-garment rate, the rate card per garment, your costing labor per unit, and finished garments by size and fit (Short, Regular, Tall)

  • Lists

Sizes XS to 6XL, Short, Regular and Tall fits, equipment groups, sections and garment types you can edit

Why you'll like it

  • No more adding up paper tickets: quantity × rate for every operation, summed per worker and per pay period
  • Catch mistakes before payday: unknown op numbers, operations with no rate, the same bundle logged twice, output with no hours, quantity typos that push a day over 150% efficiency
  • See who is fast and who needs help: efficiency per worker from earned minutes and attended hours
  • Set fair rates: each operation's pay per minute next to a suggested rate from your own target
  • Know your real labor cost per garment for each style and compare it with your costing
  • Optional top-up when piece pay falls below an hourly floor you choose
  • Sample factory with 18 operators, 6 styles and two weeks of output, so you can see the main statuses and checks before you type your own
  • Built by a data analyst with a working cut-and-sew workshop: every number is a formula you can trace. No subscription, no app

Good to know

  • A record-keeping tool — check local wage and tax rules. It does not work out taxes, overtime or legal minimum pay; the hourly floor is a number you choose.
  • Amounts show in dollars ($). Operation times are in seconds.
  • Room for 40 workers, 250 operations, 30 styles, 2,000 output rows (about seven weeks for 18 operators), 800 attendance days and 200 advances. Start a fresh copy when the log is full.
  • It is a spreadsheet, not an app: no barcode scanning, time clock or bank payments.
  • Printing from Google Sheets: select the pay slip and print "Selected cells" (see the note next to it).
  • Best used on a computer; you can view it in the Google Sheets app on your phone. Using a Mac?
  • For use in one business. Please do not resell or share the files.
